Job Description
Overview
We are seeking a highly organized and detail-oriented Grant Assistant to join our support team. The Grant Assistant will provide comprehensive administrative, organizational, and programmatic support to the Grant Services team. This role supports efficient operations, assists in grant-related tasks, and ensures smooth communication among internal staff, external partners, and funders.
Responsibilities
Grant Support
- Assist with the preparation, review, and submission of grant applications, reports, and supporting documentation.
- Track grant deadlines, reporting schedules, and compliance requirements.
- Maintain accurate digital and paper grant files, ensuring all documentation is organized and up to date.
- Support grant monitoring, data collection, and reporting processes.
- Coordinate with internal program staff and external stakeholders to gather information for grant proposals and reporting.
Administrative Support
- Provide scheduling support, including maintaining calendars, coordinating meetings, and preparing agendas/materials.
- Draft, edit, and format correspondence, memos, presentations, and other documents.
- Manage office communications, including handling phone calls, emails, and visitor inquiries.
- Maintain efficient filing systems and office organization.
- Support logistics for meetings, events, and special projects.
Financial and Record-Keeping Support
- Process invoices, payment requests, and reimbursements related to grant activities.
- Assist with tracking budgets, expenses, and financial reporting for grant projects.
- Support data entry and record-keeping in internal systems.
Qualifications
- Associate’s or Bachelor’s degree preferred, or equivalent combination of education and experience.
- At least 2 years of administrative, office, or grant support experience.
- Strong knowledge of philanthropic foundations and their operational procedures, or demonstrates a clear understanding of standard grant management practices.
- Strong organizational and time management skills; ability to prioritize multiple tasks and meet deadlines.
- Excellent written and verbal communication skills.
- High attention to accuracy, detail, and confidentiality.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn grant tracking/reporting databases.
